Privacy Policy

Evarmont provides an automated phone assistant that answers calls for businesses and books appointments on their behalf. This policy explains what we collect, why, and how long we keep it.

Who controls your information

When you call a business that uses Evarmont, that business decides what is collected and why. Evarmont processes the information on their instructions. If you want your information corrected or deleted, the business you called is the right place to ask, and we support them in acting on that request.

What we collect

  • The phone number you called from and the number you dialled, so the call can be routed and matched to your booking.
  • A written transcript of the conversation, used to complete your booking and to let the business review what was agreed.
  • Details you give in order to book: your name, a contact number, an email address if you offer one, and what you asked to book.
  • Your appointments, including changes and cancellations.

What we do not collect

  • Call audio is not recorded. Recording is off by default and a business must switch it on deliberately. If it is ever switched on, you will be told at the start of the call.
  • We do not ask for, and the assistant is not able to take, card numbers, bank details, or government identification.
  • We do not sell personal information, and we never have.

Why we hold your phone number

Your phone number is the main way a business recognises you. We may use it to identify you when you call, to find and manage your booking, to send an appointment confirmation, to call you back if you ask us to, to keep a history of your visits, to answer support questions, to protect against fraud and misuse, and to meet legal obligations.

Giving us your phone number, calling a business, or booking an appointment does not sign you up for promotional text messages. Promotional messages require separate permission, described below, and we treat the absence of that permission as a no.

Messages about your appointment

If a business enables it, we may send you a text message or an email confirming an appointment, or a link to change or cancel it. You will only receive these if you asked to be contacted that way during the call. Message and data rates may apply. Reply STOP to any text message to stop receiving them; reply HELP for assistance. Stopping messages does not cancel your appointment.

Promotional messages

A business may separately ask whether you would like promotional texts and special offers from them. This is optional and is never required to book, to keep, or to receive an appointment, and declining changes nothing about the service you get.

Saying yes on a call is only the first step. We record it as a pending request and send one message to your phone asking you to confirm. Promotional messages begin only after you reply from that handset. If you never reply, the request expires and nothing is sent. Message frequency varies, and message and data rates may apply. Reply STOP at any time to stop them; reply HELP for assistance.

Permission is given to one business for its own messages. It does not extend to any other business that uses Evarmont.

We do not sell your mobile information, and we do not share your text-messaging opt-in or consent data with third parties or affiliates for their own marketing or promotional purposes.

Who we share it with

We use a small number of providers to run the service: a telephony provider to carry the call, a speech provider to understand and speak, a database provider to store your booking, and a hosting provider. They act on our instructions and may not use your information for their own purposes. We also disclose information where the law requires it.

These providers process your information only to deliver the service — carrying a call, storing a booking, sending a message you asked for. We do not sell your personal information, and we do not pass your mobile number or your messaging consent to anyone who wants to market to you.

How long we keep it

Each business sets its own retention period, after which transcripts and related call records are deleted automatically. Booking records are kept while they are needed to provide the service and to meet the business’s own record-keeping obligations.

When a business removes your customer record, it is first hidden from their dashboard and then, after their retention period, your name, phone number, email address, and any notes are permanently erased. The record of the appointment itself is kept without anything that identifies you, so the business’s own history stays intact.

If you ask us to stop sending promotional messages, we keep a minimal record that your number opted out, even after other information about you is deleted. We keep it for one reason: without it we would have no way to know not to message you again. That record holds a one-way fingerprint of the number rather than the number itself, which is also why erasing your details does not bring the messages back.

Your choices

  • Ask the business for a copy of what is held about you.
  • Ask for it to be corrected or deleted.
  • Ask not to be contacted by text or email.
  • Reply STOP to any text message to stop promotional messages immediately.
  • Ask to speak to a person instead of the assistant, at any point during a call.

Security

Information is encrypted in transit and at rest. Access is restricted to the business you called and to the staff members it authorises. Each business’s data is isolated from every other business on the platform.

Children

The service is not directed at children under 13, and we do not knowingly collect their information.

Changes

If this policy changes materially we will update the date above and, where the change affects you directly, tell the businesses using Evarmont so they can inform their customers.
